Organising Work Packages

Organising Work Packages

Overview

A Work Package can represent many different ways of working. It could be a Site, a Job, a Building or a bucket of business-as-usual ongoing inspections.

Your organisation may also have multiple offices, each serving a set of clients.

Clarinspect can support a view of work that allows the users to navigate by Office / Site and then Client to find the Work Packages, rather than try and filter and search for the ones they want.

Note that the hierarchy of Office / Site → Client → Work Package is purely for filing and finding Work Packages. They can be changed, edited, deleted at any point and it will not affect the actual work of inspections.

Though Office / Site is intended to represent your own offices, and the Client level is for the clients that each office serves, you can use them to represent a building site, and then use 'Client' to represent the Trade type working on that site, each with Work Packages under them.

How to use the feature

Click on Offices / Sites in the left menu.

Adding a new Office / Site

Click on the green New Office / Site button.

Enter a name, and an optional description, then click on Create New Office / Site

Once an Office / Site is added you can add clients under it.

Adding a new Client

Click on the name of the Office / Site that you want to add the client under.

Under the Office / Site you can click the green New Client button to add new clients. Or you can click the blue button to edit an existing one. The delete option does not delete any Work Packages under the Client.

Deleting an Office / Site or Client DOES NOT delete the Work Packages under them

Enter a name, and an optional description, then click on Create New Client

Once a Client is added you can add Work Packages under it.

Adding Work Packages to a Client

Click on the Client Name. You will get a similar view to the Work Packages list.

If you click on New Work Package you will see the usual 'New Work Package' screen, however a new field is available and prefilled with the Office / Site and Client.

If you edit an existing Work Package you can set the Office / Site + Client field. It will then appear under that Client.

Once the Office / Site + Client have been set on a Work Package they will always appear in the navigation at the top above the tabs.

You can click anywhere in the list of options to get a view of resources at that level (e.g. if you click on Clients you get a list of clients).
