We know that rolling out a new software system is a big change—and that change can feel different for everyone on the team. At Clarinspect, we’ve onboarded a lot of businesses over the years and we’ve learned what makes the difference between a smooth rollout and a stressful one. Here’s our best advice to help your team get the most out of your new tool.
Successful change starts at the top. Having a clear champion in a senior role is key—someone who understands the value of the system and makes sure it’s being used consistently where it can add the most value.
That person (or a small team of champions) helps ensure:
Time-saving tools are actually being used
Staff are supported during the transition
The benefits of Clarinspect—like better consistency, more accurate data, legislative compliance, and more efficient workflows—are achieved
Don’t build your system in a vacuum. The best rollouts include input from the people who will actually be using Clarinspect day to day—especially the field team.
We’ve seen systems fail when the field team hasn’t been included in the design of the templates or reports. Get their insights early. They know what’s practical and what isn’t. And don’t forget the admin team—if they have strong formatting preferences, bring them in too so the end result works for everyone.
People are more likely to get on board if they understand the reason behind the change.
Are you aiming for faster reporting? Less admin? Better consistency? Define what success looks like and make sure the team understands what you’re working towards—and how this change helps you get there.
More consistent inspections and reporting across the board
Huge reductions in printing and paper use (some saved over a metre-high stack of paper!)
Time from inspection to completed report dropping from over a day( or week eek) to under two hours
Better detail in reports through voice dictation and the use of lists
100% H&S compliance on inspections done with Clarinspect
No more guessing at illegible handwriting - more accurate reports
How long to complete the report afterward?
How long until the client receives it?
How many reports are completed in a typical month?
Then check in at 2 months, and again at 6. Even if things feel slower at first, most teams speed up quickly as confidence builds. Share those improvements with the team—it’s motivating and reinforces the value of the change.
The goal is to save time, boost accuracy, and let your skilled team focus on the work they do best. That only happens if the change is embraced.
If anyone’s resistant, take time to understand why. Often there’s a fix—and not resolving it could impact the entire implementation. We want to help you create a win-win situation where your team, your clients, and your business all benefit.
