Using Merged Inspections

If you have multiple staff in the field and want to combine their work into one report, this feature enables their inspections to be merged.


If you are wanting to use merged inspections you will need to contact Clarinspect Support to get this set up. 


How Inspections are merged


There are several criteria that allow inspections to be merged.
  1. The system is set up with a Primary (BASE) and Secondary (To Merge) Inspection

  2. The Primary (BASE) has a field that shows it is waiting to be merged

  3. A specific field (e.g. Job Number) on the Primary (BASE) must match the same field on the Secondary (To Merge) 

  4. All inspections to be merged (Primary (BASE) or Secondary (To Merge)) must be 'Finished' inspections

Inspections on the App


These are started like any other inspection.

Primary (BASE) - showing the Job Number and the 'Merge' question.

 

Secondary (To Merge): No 'merge' question, and must have  matching Job Number.


Often the Primary (BASE) and Secondary (To Merge) will be identical, sometimes the Secondary (To Merge) may offer fewer fields and specific sub-forms. Once the inspections are completed on the App, send them back to the hub like normal.


Inspections on the Hub


The Secondary (To Merge) inspection does not have a report. It exists only to be merged and have its data added into the Primary (BASE).


The Primary (BASE) does have a report, but if it is 'Waiting to be Merged' (as per that question at the top of the form) it will not generate the report, but will go straight to finished and wait to be merged.


To start the merge process go into the Primary Inspection waiting to be merged. 


Only Admins, Work Package Managers and the owner of the inspection (assignee) can start a merge.



If the 'Merge...' button is clickable then the conditions for merging are met. If you click the button and the system cannot find any secondaries that match, then you will be told so.


If there are Secondaries to merge, you will see the next screen.



This shows all the Finished Secondaries that have a matching field (in this case 'Job Number').


If you can see all the Secondaries you are expecting, then click the blue 'Merge' button.


This will start a background job that merges the data from the Secondaries into the Primary (BASE). When it has finished you will receive an email.

After the merge is complete the Primary (BASE) is left in Draft (as there are frequently other edits to make) and the Secondaries that were merged are archived.


The question 'Waiting to merge?' on the Primary (BASE) is also set to 'No'.



You then edit the Primary (BASE), and save and complete it - this will then generate a report with all the data.


Once a Secondary (To Merge) ( merged) inspection has been merged you can find it in the Archive.

But I found another one I want to merge with!


Edit the Primary (BASE).

Set the 'Waiting to merge?' question to 'Yes'.

Save and Complete.

The Inspection is now ready to merge in the next Secondary (To Merge) inspection.
