Adding Documents in the Hub

Clarinspect's Documents feature gives your team access to important supporting documents right inside the app - wherever they're working. Whether it's Health & Safety documents, ITPs, or step-by-step instructions, your team no longer needs to dig through emails, shared drives, or paper copies on site. 

There are two ways to make documents available in Clarinspect: 

Documents in the Library - for documents your teams use regularly across multiple projects such as: 

  • Company-wide Health & Safety documents

  • Standard ITPs used across multiple projects

  • General instructional or training material

  • Any document more than one project will need

Documents on a Work Package - for documents only relevant to a specific job. For these, you can add documents directly to that project rather than storing them in the Library. Documents such as:

  • Site specific safety plan

  • One-off ITP

  • Client/engineer provided instruction for a single project

Documents - Library

This is a place where you can store relevant documents, links etc.



When it has been enabled and available in your system, Documents can be found under Library on the left hand menu.  Click here to view.



  1. Click here to add a new Document

  1. This is where you will see all documents in your library. Click on the heading to view the document, or visit the link.

  1. This tag indicates which Group the document fits into.

  1. You can filter your documents by group. Click the desired groups and ‘Apply’.

  1. Groups are used to categorise your documents for ease of filing. Click here to view Groups. You can edit group headings and descriptions, and add new groups from here.


Adding a new Document to your library


  1. Click ‘Add Document’.

  1. Add Label for your document.

  1. Choose Group.  Click to see drop down of group options.

  1. Add version number (optional)

  1. Choose type of document to load. This can be a file (pdf, jpg, docx) or a web link.

Click Choose File, or drag and drop file into the box to select document.


OR

  1. Click Link to show field to enter a website link.

  1. Click Create.



When your new document is added, it will show up on the documents list in the library.

  2. Label you have given it

  3. File name (or website) that was loaded.

  4. Click ‘Details’ to view versions of the document, add versions or to edit the Label and/or Document group.


Adding a Document to your Work Package







Documents can also be added from your Work Package menu as shown here.



  1. Click here to add new Document.

  1. Click here to add document from the library to the Work Package.

Adding New Document to Work Package


  1. Click ‘Add Document’.

  1. Complete the form as for adding a new document to your library (see above).  Note the additional selection - tick or untick to choose who can view the document on the work package.


Adding Document from the Library to a Work Package 



  1. Click ‘Add from Library’.

  1. Tick to select the Document(s) you wish to add to the Work Package.

  2. Click to select version number.

  3. Tick/untick to select who can see the document on the Work Package.

  4. Click here  to add the Document to the Work Package.



When your document(s) are added, they will show up on the Work Package documents list.
