At Clarinspect, we know documents change. Specs get updated, mistakes get fixed, new stuff gets added. So instead of losing track of "which one's the right one," for your documents our system keeps versions labeled clearly.
Document versions
Documents added to the library are all assigned a version. This is automatically generated as v1, v2 etc unless you add something different at time of upload. If a document that you use has been updated, you can load a new version of this document into the library on the Hub. The system retains the old document but will default to the new version, indicated by a green ‘Current’ badge.

When you add a document to a Work Package from the Library you can choose what version of the document you wish to use.

Any images displayed are representative only and may differ depending on the version being used.
When using a document in a Work Package, you can choose to follow the latest version (default) or to use an earlier version. It may be important to stick with one version if working to a specific contract for example..

On the Library > Documents page, click the Details button to the right of the document you wish to view or update. |

Name of document (Label) Version number shown in bold here. It will auto fill with v1, v2, etc or you can enter your own version number when being added. Green Current badge indicates the latest version. This number indicates how many times the version has been used in a Work Package. If you hover your mouse over this number you will see the help text explanation (shown above). Click this button to add a new version (See next section). Click this button to edit the Label of this document or to change the Document Group that it is filed under.

Click here to delete the entire document. NOTE - this will delete ALL versions of this document from the system, and from all work packages that use it.

Adding a new version
Click ‘Add Version’.

Add Version info here. If you leave it blank it will auto fill with v2, v3 etc.. Choose a file to upload - OR
Click here to enter a web link. Click Create.

New version is then added to list, and green ‘Current’ badge moved to indicate new entry.

Version usage within Work Packages
Please read Adding Document from the Library to a Work Package. It is important to note that when you add a document into a Work Package you have the opportunity to choose what version of the document you wish to use. It will default to the Latest, but you can choose a previous version if you need to - for example if you are working on a specific project and you need a previous standard to work to.
Click Add from Library

Select Document to add. All ticked documents will be added to the Work Package. Click version and select desired option. Tick or untick to choose who can see the document in the Work Package. Click here to Add document to Work package.

The Document will then appear in the Work Package Library. Should you wish to change the version number again, simply click the Details button and choose from the available options.

This shows you the current version. Click the Details button, then update as appropriate below.
