Using the Review System

With Clarinspect you have the ability to review inspections once they are complete. This can support your QA processes and also help you guide your staff and ensure a consistent quality of work is produced.


Reviewing an inspection allows you to check the work meets your required quality criteria. This is different from Approvals which is signing off, and locking the inspection records (see ‘Using Approvals’ for more information on this). 


The Review System allows you to set a percentage of all work in a Work Package that must be reviewed. 


When an inspection is finished (completed and all reports generated) the system decides if that inspection should be added into the list for review.

 

Reviewed inspections can be edited or re-activated as part of the review, or at any time afterwards.


Once an inspection has been reviewed and passed, the report will regenerate.  If you would like to have reviewer credentials entered into the report please talk to Clarinspect Support Staff to set this up.



Setting up the Review system

To set up the review system:

  1. Go to Work Package settings 

  2. Click on Edit


Any images displayed are representative only and may differ depending on the version being used.




Review Percentage - You can change the percentage at any time. If you choose zero this is effectively turning the system off. Set the percentage you would like to be pulled into the Review Queue.


Workpackage Reviewers - These are people who can review the inspections. You can change reviewers at any time.


Once you click on Save Work Package then the review system will start checking newly finished inspections and deciding whether to add them to the review queue or not.


Review states


An inspection that has been tagged for review will be:

  • Green - Review passed

  • Orange when finished (available for review)

  • Grey when active or draft (tagged, but cannot be reviewed yet)

Reviewing Inspections

You can review inspections from the:

  • Reviews tab OR

  • Inspection list


Using the Reviews tab


On the Reviews tab you can mark inspections as passed in bulk (1) or individually (2).

You can click to enter an inspection and:

  • Assign the inspection, and activate it for rework in the field.

  • Add a note for field staff  (this will appear in the Review - Actions section of the inspection)

  • Edit (and correct) an inspection (then report it again, and pass it).

  • Mark the inspection as Pass


Reviewing Items from the Inspection List


You can see items for review in the inspection list.  These items will show the ‘R’ icon


To see this inspection click on it. Press ‘Go to review page’.

Then complete the review process as above.


Note: Using the filters on ‘All Passed’ will include all archived and live which have passed review.

Viewing a Reviewed Inspection

When you re enter the inspection on the Hub or the App, you will find the Review Notes near the top of the inspection. 

The information displayed includes:

  • Date

  • Person who reviewed it

  • Instructions noted

If there are notes from multiple reviews, they will be listed in chronological order.

  • An Inspection cannot be Archived or Approved while pending or available for review.

  • Archived inspections that have passed review are included in the percentage calculation. 

  • Contact Clarinspect if you would like reviewer credentials to enter reports. 


Note: If you edit an inspection that is tagged for review, then it MUST go back through review before it can be approved.
