Bulk Editing Through Importing

You may want to bulk edit a number of inspections within a Work Package.


You will first need to export your data. Instructions can be found here: Exporting Data from the Hub.



This is what the output will look like. You should save it as a master copy of the original data:



Prepare data you want to update

Note only the Worksheet named ‘Main’ can be reloaded to update inspections. If you are loading data to create rather than edit inspections, then you can add further columns - ask Clarinspect support if you need to do this.


Make a copy of the original export to be your working file.


Row 1 contains the names of the fields as seen in the App. These may not be unique (e.g. ‘Comments’). Row 2 contains the ‘database’ field names - these are unique. 


1. DELETE ROW 1


Column A ("_id") - contains Clarinspect's unique references for your inspections.

DO NOT DELETE THIS COLUMN - this is how the system knows which inspection to update.


2. Delete any rows for ‘Active’ inspections - these are the ones with a blank ‘_completed_at’ field.

3. Delete the '_completed_at' column as this is no longer required.

4. Change values in any column you do want to update (if you are using any _key columns, please contact Clarinspect Support for the options you can use in these).

Save in a format for loading

Save the file as an .xlsx (for your records) and also as a CSV UTF-8 (this is what you will be importing back into the hub). 


Load the file

Go back to the hub. Choose the .csv file and click on ‘Import’.

You will be notified by email when the import has been completed. 


The inspections will now be in ‘Draft’ in the hub. ‘Edit’ each inspection, then choose ‘Save and Complete’, then submit the inspection to generate an updated report.  

Notes


GPS Fields : when loading GPS data from excel you need to ensure it is in the format shown below; "latitude,longitude". No spaces and only decimal numbers separated by a comma. There is a single comma in the middle separating the latitude and longitude coordinates. It can have a negative at the front of a number and the decimal point is fine too.


For example: -38.337244,176.391744


Date and Time Fields: These needed to be loaded as YYYY-MM-DD and HH:MM:SS


Loading Assessor: You can also import users in the system. User _assessor as your column heading and use the registered email address in Clarinspect for that user.
