Copy and Create Inspections

Reusing inspection data


For specific solutions in Clarinspect, and in the FireQA suite, there are numerous systems that have the option to copy inspection data, and use it to create a new inspection. These Copy rules can also remap data.

For example...

Creating an asbestos survey re-inspection from the previous survey moves all prior samples and results to a previous samples section, so the surveyor can record the physical state of the previous asbestos samples, and add new samples as needed.


After a Site Inspection (for Passive Fire Certification or Construction monitoring) a copy rule can be run that takes all failures and creates Passive Fire Install logs, or Defects for resolution. These would then come fully populated with a marked up floorplan, before photos and any other data needed for the next step in the process.

Setting up a rule

The copy and create rules are set up by Clarinspect staff.

A copy and create rule can support the following:

  • A type of solution (e.g. defect, installation, certification)

  • If your inspection has sub-forms whether to copy each one into a new inspection

  • Whether to copy data into a new field or not (e.g. current samples into existing samples, or last photo into first photo, or date inspected into date last inspected)

  • Which fields to not copy over

  • What criteria to use to choose when copying sub forms on a survey (e.g. only those that are fails)


The result is a reuse of data, photos and also a new inspection with a marked up floorplan.

This can allow a scoping survey (for example) to have its data reused into an installation job at the click of a button.


Running a rule - Single inspection

Note: Only Organisation Admins and Work Package Managers can perform this operation.

The Copy data into... button shows a drop down list of types of inspection you can create and which Work Packages you can create it in.
It will show all Work Packages that are Active or Draft.

Once you choose the type of inspection to create, and which Work Package, the data is copied using the conversion rules into a new inspection in the chosen Work Package.

You will get an email telling you it has completed, and whether it succeeded or not.

Running a rule for an entire Work Package

Note: Only Organisation Admins and Work Package Managers can perform this operation.


Once you have set the filters for the Work Package you may want to copy all the inspections from one form into another. Once the filters narrow the choices down to one type of inspection that has a copy and create rule on it, the Choose operation menu will offer you another option.

Once you click the Copy all and create new inspections... option you will be presented with a list of types of inspection to create and which Work Package to create it in.

Click the Work Package and confirm on the next dialog.



You will be returned to the list of inspections, and informed that the copy and create is underway. Shortly after you will receive an email with a breakdown of what could be copied, and how it went.
