Converting an Inspection

Converting an Inspection

Any images displayed are representative only and may differ depending on the version being used.

With Clarinspect you are able to take inspections and convert them into another kind of inspection. This can be useful if you are wanting to:

  • Reinspect the same area or premises to check for changes over a period of time

  • Convert a scope or failed certification into an install

  • Send multiple items through to a new Work Package in bulk

When the Clarinspect team are setting up your converting system - you can choose whether original items should be ‘read only’ when the reinspection or conversion occurs, and if any new fields should be added to the destination inspection.

The benefit of using the convert inspection is that you can keep the original inspection intact, and add more data to the converted inspection, building on the original data set.

To have inspections set up to convert from one type to another, please get in touch with Clarinspect Support or your Onboarding Lead.

How to Convert Inspections

  • First, you need to choose where the converted inspection will go. Usually this is a new work package. Get that set-up first before you attempt to convert an inspection(s). Make sure it is clearly labelled

  • Inspections must be finished in order to be converted

  • You must have permission to create inspections in the target Work Package

  • It cannot be copied into the same Work Package and Inspection Type more than once

  • The process to converting individual inspections is slightly different to converting inspections in bulk

Converting Individual Inspections:

  • Go into the inspection and press the ‘Copy data into …’ button at the top right of the screen.

  • This will give a drop down list of all of the possible destination work packages for your converted inspection to go into.

  • Click the desired Work Package.

Converting Bulk Inspections:

  • Use the filters on the right hand side to get the desired list of inspections. More information on using filters is found in this user guide.

  • If you want all active inspections in the Work Package then leave the filters untouched

  • Only Work Package Managers and Admins can see these bulk actions

  • Press the ‘Choose Action’ button in the ‘Actions on Filtered Items’ box on the right hand side

  • Click ‘Copy into…’

  • Select the desired Work Package

Once an inspection has been converted:

The original inspection will remain in the original Work Package, and the new ‘converted’ inspection will be in draft form in the chosen Work Package.

Once an inspection is converted it can be worked on like any other inspection.

A link icon will show in the inspection list alongside any inspections which have either:

  • Been converted into another inspection

  • Been created by converting a previous inspection

Inside an inspection, if it has links to other inspections there will be a list near the top below the history.
