NOTE: Only Work Package Managers and Org Admins are able to use this function.
The ‘Bulk Operations’ feature on the Hub makes it easy for you to get complete actions on multiple items at once.
To do an action to all filtered items you need to:
Open the Work Package that needs actioning
Filter the inspections to those that you are wanting to do something to (for more information on using the filters please read this user guide)
NOTE: If there is more than one inspection type you will need to filter down to a single inspection type to action all.
On the right hand side of the screen you will see a Bulk Operation… button. Click on it to access the drop down menu and choose what you are wanting to do.
It will come up with a warning message. If you want to continue, click “Yes, Continue.”
You will then see a green message across the top of the screen telling you that the process has started and you will be notified by email once the process is complete.
Once you have received the email, you can refresh the screen on the Clarinspect Hub and you will see that everything that is able to be completed is now completed. (ie it has a green tick, and will be Completed, Reporting or Finished status depending on how many are to be processed).
The email you receive will give you a break down of the inspections that were and weren’t able to have the action completed, along with the reasons why, and a link to the failed inspection..
You can select specific inspections by ticking them, and then use the buttons along the top, or the Action... button to choose the desired action from the drop down list.
Note: If you have selected inspections using the tick box to the left, the ‘Bulk Operations’ button will be disabled.
Inspections must be Live, Active/in Draft, Assigned and not on a device in order to be Completed.
You can submit them in all states, but they will not all go through for completion.
Inspections will only work in bulk completion if all mandatory fields are filled in, just like with completing an individual inspection.
You must have permission to make changes to each inspection that you are wanting to complete
Inspections in any state can be exported
If you are an assessor your export will only include items that you have permissions to access
Inspections must be live and either draft, active or finished
You must have relevant permissions to perform this task
Approved inspections cannot have their assignment changed
Finished inspections cannot be unassigned
Workpackage managers and admins can activate inspections
Users and assessors can activate only those inspections which they are assigned to
The following inspections can not be activated:
Approved inspections
Inspections currently reporting
Already activated or active on an app
Cancelled or archived inspections (these need to be made ‘live’ first)
Anyone with permissions to access an inspection can archive it
Only finished inspections can be archived
If an inspection is already archived it won’t be archived again
If an inspection is tagged for review it can’t be archived
Inspections must be in an archived state to be unarchived
Anyone with permissions to access an inspection can unarchive it
Inspections must be live and either draft or active to be cancelled
Inspections on device can be cancelled but this should only be done as a last resort (eg someone has left the country with their device)
Inspections in a cancelled state can be uncancelled
