Work Packages on the Hub

In Clarinspect you can manage all of your team's inspections in the web console, the Clarinspect Hub. This document will give you a general overview of the Work Package view of the Hub, how to create and edit Work Packages and introduce you to common symbols and what they mean. It will also cover what is inside an individual Work Package.

When you log into the hub, it will take you directly to the Work Packages page, which shows a list of all of your organisation’s work packages / projects. This guide shows you the parts of this page.


When you open the work package list view, it always defaults to showing only the ACTIVE work packages. If there is one that is in a different state, use the filters on the right to show the other statuses - such as draft or archived.

 


  1. Add New Work Package

  1. Work Package Name

Click on the blue text to enter the work package, where you can create new inspections, and see existing inspections. The work package name is important as this is what will appear in the app for the field staff. It is usually the Site name and address.

  1. Status

A work package may be in Draft, Active, On hold or Archived state, as indicated at the right hand side of the heading. e.g.

  


While all Work Packages are visible on the Hub, only Active work packages are visible to app users.  Status can be changed by simply clicking ‘’Activate’ or ‘Archive’. To place a Work Package on hold, click on the ‘Settings’ button. This will take you directly to that work package’s settings tab, where you can ‘Place on Hold’

  1. Action buttons

The action buttons shown beside a work package differ depending on the status shown. They are short cut buttons to the following actions.


This button takes you to the Settings tab, where you can edit details, staffing, drawing sets and Work package data. This is further outlined below.


Click here to duplicate a work package.  NB. When duplicating a Work Package, the new Work Package will only include staff who are active (on the original Work Package) and members of the organisation. This is a great way to copy a MASTER work package set-up. All the lists will come over too.


If a work package is archived, on hold or in draft form, click here to activate it.


If a work package is no longer being used, you can archive it. It is still there, but can not be edited.  If you wish to use or edit an archived package, you must first activate it.

  1. Filters

You can filter and sort your work packages by using this menu. You can filter by name, user, manager, solution and status. To see options, Click on the appropriate boxes to see a drop down list of options. Once you have chosen your fields, click ‘Apply’ to filter

NB, the filter is defaulted to show Active work packages. To see all work packages, Clear the filters then click ‘Apply’.


Inside a work package.

Inside a work package is where you find, manage and create your actual inspections.


  1. All Inspections

When you click on a work package, it will take you to the ‘All Inspections’ tab.  Here you can create new inspections and see a list of all current inspections in that work package.  For more information: Inspections on the Hub


Coloured icons indicate the status of the inspection. See “Know your Statuses - Hub” for more information.

  1. Reviews

The Clarinspect Review System allows you to set a percentage of all work in a Work Package that must be reviewed.  As a Reviewer, you can use the Reviews tab to access inspections that have been tagged for review.

  1. Approvals

If this feature is enabled, then this tab will show you the Inspections tagged for approval. This is used when the data is leaving Clarinspect to go into another database, and approval is required before it is sent.

  1. Site Plans

Site Plans on a Work Package combine all work in a Work package onto the relevant site plans that were used on each and every inspection.  This allows you to see a plan and then every piece of work, where it was located, and how the plan was marked up.

  1. Technical Support

This is where you can view all your Technical Support Data Sheets.

Click on an individual sheet, to see more details or to edit it.



  1. Summary Reports

These are intended to produce various  reports for a collection of inspections in a Work Package.

  1. Settings

This tab holds the general details and information specific to a work package. It can be edited using the blue button on the Settings bar.

 


The four editable sections include: 


Details - Name, Description, Inspection Types, Office/Site + Client details, and Review Percentage.


Staffing - Your field staff, Work Package Managers and Monitors..


Drawing Sets - This shows the site plans and technical support data sheet options available for this work package


Work Package Data -  This is information that is common to each inspection in that work package, the project details.

  1. Lists

This tab holds the editable lists used in the inspections, and can be changed and added to as appropriate.

  1. Resources

This is where you can load your Logo and Cover photo for reports (if applicable). You only need to load a Logo here if you want it to be different to your standard company logo.
